Manage external leads from campaigns, forms, and imports.

Overview

The Leads page is your central hub for managing external contacts captured from campaigns, social media, lead forms, and imports. Leads are potential customers who have NOT yet registered on the platform.

Important: Leads are only created from external sources (forms, imports, manual entry). User registrations, especially IB referrals, do NOT create leads - they go directly to Clients.

What Does NOT Create Leads

  • User registrations (go directly to Clients)

  • Automatic Conversion: When a lead registers, they're automatically marked as converted

Understanding the Leads List

The leads list displays all your leads with key information at a glance:

Converted Leads Filter

By default, the Leads page hides converted leads to focus on active prospects. Converted leads are those whose email matched a user who registered.

TipUse the "Show Converted" filter regularly to track your conversion success rate. Seeing which leads converted helps you identify patterns in your most effective sales approaches.

To see converted leads:

  1. Look for the "Show Converted" checkbox in the filters
  2. Check the box to include converted leads in the list
  3. Converted leads show as "Converted" status

Creating a New Lead

1. Manual Entry

  1. Click "Add Lead" button at the top right of the Leads page
  2. Enter contact information (name, email, phone, country)
  3. Select source and pipeline
  4. Optionally assign to a staff member or leave for auto-assignment

2. CSV Import

  • Bulk import leads from a CSV file
  • Supports column mapping for flexible data import
  • Go to Import page to upload

3. Lead Forms

  • Capture leads via public forms
  • Supports UTM tracking for marketing attribution
  • Configure in Settings > Lead Forms

When someone who was captured as a lead registers on the platform:

  1. The system matches their email to the existing lead
  2. The lead is automatically marked as "converted"
  3. The lead is linked to the new user account
  4. The person now appears in the Clients section
  5. You can toggle "Show Converted" to see their lead history

Lead Actions

Available actions you can perform on leads:

  • View Details: Open the full lead profile with all information, activities, and notes
  • Log Activity: Record a call, email, meeting, or other interaction with the lead
  • Schedule Follow-up: Set a reminder for your next contact with this lead
  • Change Stage: Move the lead to a different stage in the pipeline
  • Send Email: Compose and send an email directly to the lead (with AI assistance)
  • Reassign Lead: Transfer the lead to a different sales staff member
  • Mark as Hot: Flag high-priority leads that require immediate attention

Filtering & Searching

Use the available filters to find specific leads:

  • Search: Search by lead name, email, or phone number
  • Filter by Stage: Show leads in a specific pipeline stage
  • Filter by Assigned: Show leads assigned to a specific staff member
  • Filter by Source: Show leads from a specific lead source
  • Show Converted: Toggle to include/exclude converted leads

Best Practices

  1. Focus on external lead sources (campaigns, forms, imports) - not user registrations
  2. Always log activities after every interaction to maintain a complete history
  3. Set follow-up reminders immediately after calls to never miss a callback
  4. Use priorities to focus on high-value leads first
  5. Keep lead information updated as you learn more about their needs
  6. Move leads through pipeline stages as they progress
  7. Use the "Show Converted" filter to track your conversion success
