Import

Bulk import leads from CSV files with column mapping and validation.

Overview

The Import feature allows you to bulk import leads from a CSV file. This is useful when migrating from another system or uploading leads from marketing campaigns.

WarningCSV files are limited to a maximum of 10MB and 10,000 rows per import. If your dataset is larger, split it into multiple files and import them separately.

TipAlways test with a small batch of 5-10 leads first to verify your column mappings and data formatting before importing the full dataset.

Import Process

The import follows a step-by-step wizard:

Step 1: Download Template

  1. Go to Import page
  2. Click "Download Template"
  3. Open the CSV file in Excel or Google Sheets

Step 2: Prepare Your Data

Fill in the template with your lead data:

Required Fields:

  • Name (first name or full name)
  • Email address

Optional Fields:

  • Phone number
  • Country
  • Company
  • Notes
  • Source
  • Priority
  • Custom fields

Important Tips:

  • Don't change column headers
  • One lead per row
  • Use consistent formatting
  • Check for duplicates before importing

Step 3: Upload File

  1. Click "Upload CSV" or drag and drop
  2. Select your prepared file
  3. Wait for file processing

Step 4: Map Columns

Match your CSV columns to system fields:

  1. Review auto-detected mappings
  2. Adjust any incorrect mappings
  3. Skip columns you don't need
  4. Confirm mappings

Step 5: Preview & Validate

Before importing, review:

  • Total records found
  • Valid records
  • Records with errors
  • Duplicate detection

Fix any issues:

  • Missing required fields
  • Invalid email formats
  • Duplicate entries

Step 6: Import Settings

Configure import options:

  • Pipeline - Which pipeline to add leads to
  • Stage - Initial stage for leads
  • Assignment - Assign to staff or leave unassigned
  • Source - Default source if not in CSV
  • Tags - Add tags to imported leads

Step 7: Confirm Import

  1. Review final settings
  2. Click "Start Import"
  3. Wait for completion
  4. Review import summary

Import Summary

After import, you'll see:

  • Successfully imported count
  • Failed records (with reasons)
  • Duplicate skipped count
  • Download error report option

Handling Duplicates

The system detects duplicates by email address:

  • Skip - Don't import duplicates
  • Update - Update existing lead with new data
  • Create anyway - Create duplicate entry

File Requirements

Supported formats:

  • CSV (Comma Separated Values)
  • Maximum file size: 10MB
  • Maximum rows: 10,000 per import

Encoding:

  • UTF-8 recommended
  • Handle special characters properly

Common Issues

Import Fails

  • Check file format (must be CSV)
  • Ensure file isn't too large
  • Verify no corrupted data

Missing Data

  • Required fields must have values
  • Check column mapping
  • Verify data is in correct columns

Wrong Characters

  • Save file as UTF-8
  • Remove special characters if issues persist

Duplicates Not Detected

  • Email must match exactly
  • Check for extra spaces
  • Verify email column mapping

Best Practices

  1. Test first - Import a small batch first
  2. Clean data - Remove duplicates before upload
  3. Use template - Start with our template
  4. Set source - Track import source for reporting
  5. Review errors - Fix and re-import failed records
  6. Verify results - Check imported leads in the system
